HIBC Platinum and Your Builder: Resolve Specifications, Availability and Timing Before Ordering
Clear decisions between you, your builder and the product providers make whole-home purchasing easier to manage. When everyone knows which specification applies, who approves the order and when an item is needed, the next step becomes much simpler.
This HIBC guide helps Platinum members work through common builder and purchasing questions. HIBC supports materials purchasing coordination with no HIBC product markup. Your builder, designer and installers retain responsibility for their professional work, including construction, technical approvals and installation.
“Our allowance already covers that”
Start by identifying what the allowance includes: a product amount, a named selection, installation, handling or a combination of those items. Your builder’s agreement is the starting point for the conversation.
If you are considering a separate purchase, ask how the allowance would be reconciled and which related costs would remain. An answer that separates the product from the associated work makes both the budget and responsibilities clearer.
Record the agreed arrangement with the quotation. Then you can compare the alternatives on the same basis and carry the decision forward without revisiting the same question.
“That specification is different from the plans”
Ask the relevant professional to review the exact product information against the current drawing revision. Make clear whether the proposal is intended as an exact match or an alternative for consideration.
The useful discussion is specific: dimensions, finish, included components and installation requirements. If a change is accepted, update the documents used for ordering and installation so both reflect the same decision.
Keep a brief record of the approval and who gave it. This is especially helpful where several material selections meet, such as flooring at cabinetry or interior trim around an opening.
“Who handles a missing or damaged item?”
Set out the responsibilities while reviewing the quote. Identify who supplies, receives, checks and installs each significant item, along with the appropriate contact for a correction or warranty question.
| Decision | Answer to record |
|---|---|
| Final measurements | Responsible person and controlling document |
| Order accuracy | Person approving the itemized order |
| Delivery endpoint | Location and handling included |
| Receiving and inspection | Responsible person and seller’s instructions |
| Installation | Contractor and agreed scope |
| Correction or replacement | Contact, process and applicable terms |
A simple table gives everyone the same reference. It is particularly valuable when delivery, installation and the product purchase are covered by separate agreements.
Keep the seller’s inspection and reporting instructions with the order so the person receiving it has the information available.
“Will the product be ready when we need it?”
Record the builder’s required-on-site date separately from the seller’s current expected date. Ask which decisions or actions must be completed before the seller’s timing applies.
Those conditions may include final measurements, specification approval or payment under the actual order terms. Note when the information was supplied and whether the date is estimated or confirmed.
Your builder can then assess how it fits the construction sequence. If an alternative is suggested to improve timing, have its specification reviewed before accepting it. The goal is an option that works for the finished home as well as the schedule.
“Which items can we consider through Platinum?”
Platinum is a $24,995 one-time membership for new-home and substantial whole-home materials projects. Potential scope extends beyond the kitchen, with specific products and availability confirmed case by case.
Send a detailed list of the items you want to evaluate. Include essential specifications, quantities and your delivery location, and identify where you are open to alternatives. Mark any items already ordered.
Keep the membership decision and individual order approvals distinct. This allows you to explore the purchasing scope while giving each product the attention it needs before commitment.
Bring Tom a clear question
For personal help, email [email protected]. Include the item, the builder’s question, the current specification and the decision you need to make. Ordinary project details are enough; keep passwords and payment-card information out of the message.
For kitchen questions, request free design through independent showrooms, sharing the requirements already established by your project team.
You do not need every answer before starting a conversation. A well-defined question and the right supporting information give Tom a practical place to help.
